Position Description
Under the direction of the Office Services Assistant and/or Office Manager, the Shipping Clerk supports the day-to-day operations of the Printing, Shipping, and Receiving Office. The position verifies and keeps records on incoming and outgoing shipments, prepares items for shipment, assists with mail processing, and provides general support across print, copy, mail, and supply functions. The Shipping Clerk also provides backup support to the Office Services Assistant in areas of print production, certified/express mail handling, and supply distribution.
Duties and Responsibilities

- Responds to telephone inquiries and requests.
- Receives, processes and distributes incoming mail, supply orders and materials.
- Assists with logging and delivery of express and certified mail and helps prepare courier mail for pickup.
- Operates and coordinates print jobs for the folder/inserter and printers.
- Assists with collating, hole-punching, folding, and binding for small print/copy jobs.
- Determines method of shipment (if not designated), assembles cardboard containers or selects pre-assembled containers, packs and binds containers, affixes appropriate mailing label, posts weights and shipping charges, and affixes postage.
- Helps monitor shipping software entries (e.g., UPS/FedEx tracking).
- Maintains supplies for inventory, i.e. paper, boxes, toner cartridges, etc.
- Receives, inventories, and stores organizational supplies, documents, printer cartridges, etc.
- Restocks copiers with paper, toner, and staples.
- Handles distribution to local unions of UFCW promotional products.
- Examines outgoing shipments to ensure shipments meet specifications.
- Supply paper to the copiers in the building.
- Assists with unpacking and shelving supply deliveries; organizes storage areas.
- Assists with delivering packages and printer cartridges to departments.
- Provides support for moving boxes and materials for conventions and meetings.
- Assists with maintaining cleanliness and order in mailroom, supply closets, and copy areas.
- Assists with loading/unloading materials for conventions, meetings and special events from trucks.
- Assists with the setup and coordination of events overseen by the Operational Support and Services Office, including but not limited to the holiday party, Bring Your Child to Work Day, the UFCW Wellness Program events, Labor Night and the Black History Month Program.

Education and/or Experience
- Previous experience in stocking and shipping activity.
- Demonstrated ability to interact positively with co-workers and the public.
- Knowledge of and experience in the operation of standard shipping department machines will warrant additional consideration.
- Demonstrated ability to work independently.
Computer/Software Skills
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with HRIS or data management systems required.
- Ability to analyze data, prepare reports, and maintain accurate records.
Communication Skills
- Ability to read and comprehend simple instructions, short correspondence, and memos.
- Ability to effectively present information to employees, vendors, and others.
Computer/Software Skills
- Ability to navigate through database systems in order to retrieve, update and verify information.
Mathematical Skills
- Ability to add, subtract, multiply, and divide in all units of measure.
Reasoning Ability
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Other
- Ability to transport or lift up to 50 pounds.
Compensation
Salary Range: $45,158 – $48,889.
