HR Information Systems Specialist

Location: Washington DC Headquarters

Duration: Full-time position; posting closes when position is filled.

Position Description

The HR Information Systems Specialist oversees the configuration, administration, and maintenance of the Human Resources Office information systems (HRIS). The Specialist serves as a technical point of contact for our HRIS applications and assists with ensuring data integrity by addressing real time data issues, testing system changes, and continually analyzing data flaws for process improvement opportunities. Daily, the Specialist is responsible for large amounts of data including, but is not limited to, attendance and leave records, and providing solutions, reporting, procedures, testing and training of the HRIS applications. The Specialist also facilitates the customization of software to meet the Human Resources Office systems requirements.

Duties and Responsibilities

  • Delivers HRIS solutions by suggesting designs, configurations, and security measures then seeing them to implementation.
  • Promotes and maintains the data integrity of HRIS databases by reviewing attendance and leave records and employee work schedules; cleaning and standardizing employee data; troubleshooting and analyzing technical issues; creating and maintaining scheduled employee data reports; and analyzing and resolving historical data discrepancies to ensure historic data integrity.
  • Meets with the Director to review data trends, new assignments, and ongoing issues. Contributes to the development of HRIS strategies related to UFCW’s policies and procedures.
  • Collaborates with the Director and other departments to determine HRIS needs.
  • Develops and implements new processes and systems for efficient HR management.
  • Stays current on industry best practices, recommends best practice enhancements to fully leverage technology, and advises management on new technological developments.
  • Performs vendor analyses for new and existing systems and completes needs assessments.
  • Conducts HRIS trainings during new-hire orientations and other training venues. Develops and automates various reports for review and distribution as required by law, contract, policy, etc., or upon request. Provides relevant calculations and reports for annual year-end budget completion.
  • Writes technical documentation for HR-related software applications and prepares user and administrator guides and training resources.
  • Answers employment verification requests from outside sources.
  • Prepares correspondence which may be highly confidential in nature.
  • Maintains employment records in compliance with the UFCW Official Records Retention Schedule, and systematically prepares records for storage medium.
  • Communicates with the Director on relevant matters and contributes to team effort by accomplishing related results timely and efficiently.
  • Protects HR operations by maintaining strict confidentiality.
  • Provides back-up to the Senior Fleet Administrator and the payroll functions of the Assistant to the Director.

Duties, responsibilities, and activities may change, or new ones may be assigned at any time, at the UFCW’s discretion. UFCW employees function as a team and, occasionally, and on a temporary basis, employees may be required to perform tasks usually performed by others. This might occur if a team member is absent or unavailable to complete a project and the team is responsible for the deadline. Because employees are required to work as a team, you are required to step up and fill in for a team member who is absent or needs assistance from time to time.

Qualifications and Experience

  • Exceptional ability to gather and interpret data, as well as improve HRIS processes.
  • Ability to collaborate, provide technical support and train staff.
  • Experience with HRMS implementation and customizing software applications are preferred.
  • A working knowledge of Ascentis is desirable.
  • Advanced proficiency in database management, reporting systems, and security.
  • Advanced Excel skills. Familiar with API that supports moving sizable sets of data and running SQL queries a plus.
  • Strong oral and written communication skills. Ability to write technical documentation in lay terminology.
  • Public speaking and platform presentation skills.
  • Must exercise discretion involving the interrelationships among the International, regional offices, local unions.
  • Must be able to comprehend rules, policies, and procedures, and the ability to communicate them to others in a professional and tactful manner.
  • Ability to read and analyze government regulations, bargaining unit contracts, and UFCW policies and procedures to ensure compliance.
  • Ability to organize time efficiently and work quickly and accurately under deadlines, including the ability to manage multiple tasks simultaneously.
  • Ability to identify and link appropriate information resources to assist human resource development systems.
  • Service-oriented demeanor. Ability to prioritize work with little supervision.


Bachelor’s degree in information systems, computer sciences, HR management or related fields or 3 – 5 years of experience in HR technology systems.
